Persons Directory

Clicking on the Persons menu item in the blue ribbon takes you to the person directory. Here you will find a list of all persons documented in SORMAS, regardless of whether they have been recorded under cases, contacts or event participants. Please note that you cannot view persons for cases, contacts and event participants outside the area of responsibility valid for your user right(s) in the person directory and only those quick filters and persons are displayed for whose entities (cases, contacts, event participants) you have the authorizations

There is an export option in the person directory. You can download lists of persons from SORMAS as a csv file using basic, detailed or custom(ized) exports.

In the background, the program lists each natural person only once, while the situations relating to e.g. COVID-19 are being created several times depending on the situation. Thus, an illness situation listed as "case", contact situation listed as "contact" or participation as "event participant" are created per situation. Please note that it is not possible to enter new persons via the person directory, but only under the menu items Cases, Contacts and Events in the blue ribbon.

In the upper area of the window you can see the available filter and sorting options of the person directory. Here, for example, you can search directly for the first name and/or last name or ID of a person (A), or also for the year or month of birth (B).

The search function of the person directory is therefore particularly useful if you want to check whether a person already exists in your system.

You also have the option of using the direct filters Case, Contact, Event participant or Immunization to list the persons who are assigned to at least one case situation or contact situation, or who have been linked to at least one event or have at least one immunization.

In the person directory, administrators can also set missing geo coordinates in bulk editing mode using the button at the top right; this function is used to automatically add the geo coordinates for the home addresses of all listed persons.

Opening the person information via the person directory

To edit a person listed in the directory, click on the person ID on the left-hand side of the directory.

You will now see the person's data, such as date of birth and address details. The boxes on the right-hand side show the links to any cases, contacts, samples, events, and immunizations. This means that if the person has been entered as a "case", this information will appear in the "Cases" box (A). If the person was registered as a contact person, this information is also visible in the "Contacts" box (B). If samples of the person were entered, you can see this in the "Samples" box (C). If the person was associated with an event, you can see this in the "Events" box (D). If immunizations of the person were entered, you can see this in the "Immunizations" box (E). It is therefore possible for the same person to have entries in all the boxes

The pencil symbol in the respective boxes (e.g. B) takes you tothe respective case, contact, sample, event, of immunization and allows you to edit it. The blue buttons "See cases/contacts/samples/events for this person" (e.g. A) take you to the respective directory (i.e. case directory, or contact directory, or event directory), which lists all existing lines for this person as a case, contact, sample or event participant.

At the bottom of the page there is a general comment field that refers to the natural person. This means that entries in this field are always retained, regardless of the context for which an entry is created for the person.
